Special Meeting - Unanimous Vote for Car Show Committee Findings

Special Meeting Called to Discuss Future of Twilight Classic Car Show

Tuesday Nov. 13 2007

1. President Darrel R. called the meeting to order at 6:30 pm.

2. Twenty six members were an attendance

3. The car show committee appointed by President Darrel R. was formed to consider combining our Twilight Classic Car Show with the Central Community Church car show. The committee members were Jerry M., Terry P., Rick N., and Jim P.

4. In short, the committee made a recommendation to combine the two shows. Jerry M. gave a detailed presentation outlining the pros and cons and reasons why combining the two shows would be good for our club. Jerry and the committee members stated several times the church is flexible and open to suggestions for this collaboration.

5. After the presentation, a motion was made and 2nd to accept the finding of the committee to combine the Twilight Classic Car Show with the Central Community Church Car Show. A unanimous vote of 26 attending members and 3 votes by proxy were cast to accept the findings of the car show committee to combine the two shows.

6. Jerry's presentation outlined a number of pros and cons and covered the following topics.

6a. Why do we have a car show?
6b. What are the objectives
6c. Why change what we've been doing?
6d. Showed a 27 item list of what must be done before our car show.
6e. The committee met with Central Community Church representatives to establish terms, resources and commitments.
6f. Presented an example of money spent and made from our typical car show.
6g. Presented a list of pros and cons
6h. Asked membership to consider how much of your time you will devote to the show before casting your vote.

7. After the presentation the floor was open to questions.
Q. Would our logo still be on the judging forms & flyers?
A. Yes, our logo and church logo would be on the flyers and judging forms.
Q. What other shows are on that date?
A. No other big shows are on that date that anyone knew of.
Q. Are vendors allowed to participate?
A. Yes
Q. What would the combined car show be named?
A. The church said we could call it what ever we want. They didn't care to much.
Q. Will the church be open for restroom and water facilities?
A. Yes, last year the registration was held inside the church and they welcome anyone into the church.
Q. Can we use any of the grass area around the church.
A. We can discuss this with the church.
Q. The church has given us a 5 year commitment. Have we given them a 5 year commitment?
A. No not yet, this has not been discussed.
Q. Will both names be included on the charitable gift to enhance club recognition?
A. Yes
Q. Did the church car show give trophies?
A. Yes
Q. Do the trophies need to be a certain kind or made a certain way?
A. No
Q. Will the church have volunteers to help with the show?
A. Yes, but they want our club to judge the cars entered in the event.

8. Central Community Church is located on Maple, west of the Big Ditch. The date of the combined show will be Sept. 22nd (the last Saturday of September) of which Central Community Church has been hosting the show for a number of years.
